FACILITIES MANAGER

Job Summary: This position is responsible for managing the physical facilities and related services including supplies; maintenance; housekeeping; security; heating, ventilation, and air conditioning (HVAC); and grounds maintenance. The position also has primary responsibility of controlling the buying decisions and setting policies for managing the facility’s supply chain and procurement of services.

Primary Job Responsibilities/Tasks may include, but not limited to:  

 

1. Facilities

 

1. 1. Oversees continued development of office and sites (exteriors and interiors), building equipment, and grounds.
   2. Monitors current inventory level of supplies and contacts appropriate vendors to secure bids and place orders.  Confirms delivery, quality, and quantity of orders.
   3. Coordinates and schedules maintenance and cleaning activities to ensure facilities are clean, safe, sanitary, and conducive to delivery of quality patient care.
   4. Manages, coordinates, and monitors all maintenance contracts with outside vendors.
   5. Oversees performance and maintains records of cyclical maintenance projects.
   6. Coordinates and oversees building projects, including directing repair, construction, and renovation.
   7. Oversees building security and safety. Implements procedures for handling, storing, safekeeping, and destruction of hazardous materials.
   8. Assists with development and implementation of disaster plan.
   9. Assists with training staff in use of fire extinguishers and evacuation procedures.
   10. Other duties as assigned.

 

1. Materials and Services Management

 

1. 1. Builds relationships with supply and service vendors and lead contract negotiations for fair pricing.
   2. Implements measures to reduce supply and service costs within budget constraints.
   3. Manage central supply inventories, monitoring utilization, minimizing inventory while maintaining zero out of stock incidents, maintain accurate department charging and insure minimal leakage.
   4. Reviewing Clinic department inventories to insure lean management.
   5. Oversee the distribution of supplies.
   6. Identify service improvement and saving opportunities analyzing purchase histories and materials and services utilization patterns.
   7. Place orders and process payments in a timely fashion to avoid any late payment fees.
   8. Address vendor complaints.

Requirements:

 

1. Education and Certifications:

 

1. High school diploma. Associate’s degree; Bachelor’s degree preferred.
2. Materials & Resource Professional Certification preferred.
   
    

1. Experience:

 

1. 5+ years of experience in facilities management and materials management.
2. Experience in health care organization preferred.
3. Strong organizational and both verbal and written communication skills.
4. Strong skills in Microsoft Excel and Power Point.

 

1.   Physical Requirements:

 

1. Work consistently requires walking, standing, sitting, lifting, reaching, stooping, bending, pushing, and pulling.
2. Must be able to lift and support weight of 75 pounds.
3. Ability to concentrate on details.
4. Use of computer for long periods of time.
